Microsoft has finally addressed one of the shortcomings of the Outlook New app for Windows. As you probably know, the Outlook New app did not support the Outlook Data File format, popularly known as PST. Because of this, users could not back up or export emails to PST files.
If you are avoiding using Outlook New just because it does not support Outlook Data File or PST, you will be glad to know that the Outlook New app now supports PST files. This means you can now export your emails to PST with a few clicks, just like the Outlook Classic app.
This guide shows you how to export emails to PST from the Outlook New app in Windows 11.
Export emails to Outlook Data File (.PST) in Outlook New app
Step 1: Launch the Outlook New app using search or any other method.
Step 2: Once the Outlook new app is launched, click the File menu and then click Settings to open the Outlook Settings dialog.
Step 3: Here, on the left pane, click Data files. Now, on the right side, click Export.
Step 4: Finally, click the Get started button.
Step 5: You should now see the Export to Outlook Data File dialog. Here, select the email account (if you have added multiple accounts) and then the email account folders that you would like to export to PST. We recommend selecting everything to ensure you do not leave anything behind.
Step 6: Click the Next button.
Step 7: You now see options to select emails from a specific time range or all emails. Additionally, you can also decide what to do with duplicate emails.
Step 8: Finally, you need to select a location to save the PST file. Click the Choose file button, select a location to save the PST file (Outlook Data File), and then click the OK button.
Upon clicking the OK button, you get the password prompt, which you can use to set a password for the PST file to ensure that your data is safe. However, if you set a password for the PST file, do remember it, as you cannot use the PST file without the password.
If you do not wish to set a password for the PST file, simply click the OK button without typing a password in the field.
Select the Choose action as “Copy”. The “Move” option will delete emails from Outlook New once they are exported to PST file.
Step 9: Click the Export button to begin exporting your emails to the PST/Outlook Data File. Please note that the process might take minutes to hours depending on the number of emails and the size of the data.
Besides, you should keep the Outlook New app open to avoid pausing the export process. The same page offers a “Completed” message once the export is complete. That’s it!
